Job Description:
This Executive Assistant is responsible for performing complex legal, secretarial and other administrative activities, which may be highly confidential and sensitive, for the Vice President Chief Ethics and Compliance Officer and other compliance/legal personnel. The Executive Assistant performs a wide-range of activities to support the Compliance/Legal departments and works closely with other administrative team members to ensure all needs are met.
Job Responsibilities:
- Coordinate and organize the Vice President’s activities within the Company, the community and professional organizations.
- Perform other day-to-day activities including, but not limited to, schedule coordination, travel arrangements, monitor deadlines, preparation of presentations, expense accounts and personnel paperwork, typing, filing and paying departmental bills. Perform other administrative duties as assigned.
- Prepare internal and external correspondence, presentations, compliance logs, investigation documents, and other documents as requested. Create, manage and organize compliance files for confidential Company matters.
- Maintains high degrees of confidentiality, discretion, and professionalism.
Job Requirements:
- Proficiency with Microsoft Office Suite, specifically software such as Word, Excel, PowerPoint, and Outlook required. Proficiency in SharePoint, PeopleSoft, Adobe Acrobat required. Proficiency in the use of timekeeping software including TRIS is preferred.
- Excellent communication and human relations skills with an ability to interact effectively with senior management required.
- Strong organizational and management skills required.
- Demonstrated ability to follow complex instructions and work independently in a confidential manner and take a leadership role in various projects and activities required.
Qualification & Experience:
- High school graduate required. Associate’s or Bachelor’s degree from an accredited college or university preferred. Five or more years of relevant experience required.
